Product & Setup
Do I need to install any hardware or an app?
No. SmartFleet is entirely software-based. We work with CSV uploads, email inputs and automated PDF/email reports. No GPS devices, no apps, no workshop equipment required.
How long does setup take?
Typical setup takes 30–60 minutes. We import your vehicle list, configure alerts and generate your first compliance report.
What data do you need from me?
Usually: vehicle registration, MOT dates, tachograph calibration dates, trailer inspection dates and a contact email for alerts.
Compliance & DVSA
Is SmartFleet DVSA-approved?
No third-party software is officially “DVSA-approved”. We provide DVSA-ready reports that match what inspectors typically request, but legal responsibility always remains with the operator.
Does SmartFleet guarantee I won’t get fined?
No. SmartFleet helps you track deadlines and spot risks early, but final responsibility for compliance and enforcement outcomes remains with the client.
Do you cover trailers and vans?
Yes. Trailers are tracked as separate assets. Vans (including 3.5t+) can be included on all plans.
AI, Data & Accuracy
How is AI used in SmartFleet?
AI is used to assist with data processing and report generation. It does not make legal decisions or replace human judgement. All outputs should be reviewed before operational use.
What if the data is wrong?
SmartFleet relies on the accuracy of data provided by clients or third-party systems. Clients are responsible for verifying reports before acting on them.
Do you integrate with other systems?
Phase 1 supports manual input and CSV uploads. API integrations (e.g. fleet platforms, tachograph systems) may be added later based on customer demand.
Plans, Billing & Support
What happens if I exceed my vehicle limit?
You’ll be notified automatically. Monitoring continues, but alerts may pause for vehicles above your plan limit until you upgrade.
Can I change plans later?
Yes. You can upgrade or downgrade anytime. Changes apply from the next billing cycle.
Do you offer annual pricing?
Yes. Annual plans include a discount (equivalent to two months free). Contact us if you prefer annual invoicing.
What support do you provide?
All plans include email support. Higher-tier plans include priority support and faster response times.

Who owns the reports?
We retain intellectual property rights to the system and workflows. Clients receive a licence to use reports internally for compliance purposes.
